What We Are Looking For

We’re looking for a Supervising Producer to join our Production Services team at AT WILL MEDIA. The Supervising Producer is in the conductor's seat of projects both long and short term, ensuring the life-cycle of a project is a smooth and enjoyable experience for our team and partners. As the main line of communication between clients and team members, this person must have excellent communication skills including phone and email etiquette, in addition to a confident, collaborative, and proactive personality. They should also have a deep interest or experience in podcasting, as well as complete and total comfort in working with clients, partners, and brands on our Production Services team, as this role will lead several branded shows.

The Supervising Producer manages projects from a high-level. They are the go-to resource for all Producers and APs on project-related questions, are responsible for managing project budgets, and are involved in quarterly financial goal meetings where they are a key strategizer in setting and reaching these fiscal goals. The Supervising Producer is part of the recruitment team and is an active player in finding, interviewing, and hiring new talent. They are also responsible for training new employees and contractors on the processes, practices, and structures of our organization. The Supervising Producer on the Production Services team will report to the Director of Production Services, and meets frequently with Producers, APs, contractors, and the edit team while working on active projects.

As a production company with a hospitality mentality, the Supervising Producer is responsible for maintaining partner communication by being the lead communicator for any higher-level discussion points, allowing Producers and APs to be the main communicators of most partner facing e-mails, and maintaining partner satisfaction by going above and beyond to ensure partners are happy and relationships are always healthy. This is incredibly important, especially for our leaders on the Production Services team.

The successful candidate is comfortable and confident while giving constructive feedback and has a firm grasp on the many elements and levels of production that go into creating amazing audio. They are also capable of creating and implementing processes across all projects in their purview, to ensure consistency and success across the board.

Responsibilities & Duties 

High-Level / Ongoing:

  • Manage original projects by identifying key goals, creating timelines, ensuring all deadlines are met with enough time for internal and external reviews, and ensuring successful show launches

  • Oversee all phases of production for original projects including, but not limited to script writing and breakdowns, casting talent, running recording sessions, and audio reviews and revisions

  • Build and maintain project budgets (in tandem with the Director of Production Services); establish project budgets for staffing and technical needs as well as maintaining costs throughout project life cycle

  • Participate in quarterly financial goal meetings with the CEO, Director of Business Development, CPA/Controller, and Director of Production Services to report department specifics and stay on target

  • Create and implement standards and processes for all original projects (documentation, file and folder structure, etc); work with Director of Post-Production to determine standards and processes for audio recordings and post-production

  • Gather and track all client/partner deliverable items including promotion forms, artwork, show descriptions, episode descriptions, and securing any licensing or approval for use of clips

  • Source, interview and hire new team members and contractors to build teams for greenlit projects; handle agreements, as well as onboarding for new members

  • Build and maintain a roster of external creatives for projects, including writers, composers, editors, sound designers, etc.

  • Coordinate with CPA/Controller as well as Project Accountants to ensure active project budgets are on track, invoices and expenses are processed, and to stay on top of payment milestones

Day-to-Day:

  • Manage daily work-flows by communicating with Producers and APs to ensure tasks are accomplished in accordance with the timeline and goals

  • Guide Producers and APs in the right direction for questions they may have regarding workflow, creative ideas, audio, etc.

  • Participate in weekly check-ins with team members and clients to go over project status, timelines, concerns, questions, and other top of mind items

  • Liaise with legal counsel during the life cycle of projects, including legal clearance, talent and contractor agreements, review of fair use and archival materials, etc.

  • Provide insightful and constructive feedback on episodes during their various stages of production and post-production

  • Act as a notes ambassador by gathering consolidated notes and feedback both internally and externally, and delivering feedback to producers and/or external teams with enough time to work on the notes

  • Manage file delivery by ensuring all files are delivered to clients for feedback and final approval on time; coordinate with third-party QC teams to ensure final deliveries are to client/partner specifications

  • Organize and lead post mortems at the conclusion of projects (or following certain phases)

Qualifications & Skills

  • 5+ years experience working in audio; 5+ years experience working in relevant media.

  • A love for and strong knowledge of podcasts and the podcast market

  • Ability to wear many hats and stretch into various roles

  • Strong project management and organizational skills; must be the type of person who finds pleasure in creating process documents or spreadsheets

  • Succeeds in overseeing multiple projects (in various stages of completion) simultaneously

  • Solid understanding of production and the logistics involved

  • Ability to lead a team; should find satisfaction in supporting team members to grow professionally and creatively

  • Sharp, creative mind and can communicate creative ideas clearly; pays close (and almost annoying) attention to detail

  • Excellent verbal and written communicator (e-mail, phone, etc.); brings energy and enthusiasm to meetings, calls, etc.

  • Working knowledge of G-Suite, Slack, and Airtable.

  • Expert level of audio editing skills in Pro Tools.
